Über den Job:

We are seeking a highly organized and proactive Office manager to ensure the smooth operation of our office in Vienna while providing direct support to the General Manager. The ideal candidate will manage day-to-day office administration, assist the GM with strategic initiatives, and serve as a point of contact between the GM and other departments. This role requires multitasking, excellent communication skills, and the ability to maintain confidentiality while handling sensitive information. You would be present daily in the office, working approx. 30 hours per week.


BRINGING IT TO THE ROLE

As our Office manager, your responsibilities will be:

  • Provide comprehensive administrative support to the General Manager, managing their schedule, communications, and travel arrangements.
  • Assist in preparing reports, presentations, and documents for GM's meetings and briefings.
  • Act as a liaison between the General Manager and other departments, ensuring timely communication and follow-ups.
  • Help prioritize the GM’s tasks, meetings, and workload to ensure effective time management.
  • Oversee and manage office operations to ensure efficiency and organization.
  • Maintain office supplies and equipment, coordinating with vendors for repairs and orders.
  • Ensure a clean and organized work environment, including meeting rooms and common areas.
  • Develop and enforce office policies to promote a professional and productive workplace.
  • Manage phone calls, emails, and correspondence

WHAT WE ARE LOOKING FOR

This position plays a vital role in ensuring the General Manager's day runs smoothly and that the office operates efficiently. We are looking for someone resourceful, detail-oriented, and excited to support the growth and success of our team.

  • Proven experience as an Office Manager, Executive Assistant, or Administrative Assistant.
  • Experience providing support to senior management or executive-level staff is a plus.
  • Strong organizational and multitasking abilities.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and office management software.
  • Strong problem-solving skills and ability to work both independently and collaboratively.
  • Ability to manage multiple tasks and meet deadlines.
  • Fluency in both English and German is essential.
